Selling
Email goes out through your own mailbox over SMTP, so it comes from your address, replies land in your normal inbox, and sent messages sit in your Sent folder. Connect it once in Settings → Email. Sending is on the Professional plan.
See it instead of reading it. Inside a record: a 2-minute guided tour on a sample board.
Connect your mailbox
- 1Go to Settings → Email.
- 2Fill in From name and From address, and optionally a Reply-to and a signature.
- 3Under Sending server (SMTP), click Gmail, Microsoft 365 or Zoho to fill in the server details, or type your provider's.
- 4Enter the username (usually your full address) and password.
- 5Save, then run the connection test. It tells you exactly what failed if anything does.
Gmail and Google Workspace need an app password, not your normal password. Create one in your Google account under Security → App passwords. Microsoft 365 may need SMTP sending switched on for the mailbox by your administrator.
Under Send as you can add other addresses on the same mailbox, such as sales@, and choose which one is the default.
Email one person
Open their record and click Email. The message appears in the record's Emails tab once it is sent.
Email many people
- 1Select the rows on the board and choose Mass email on the bulk bar.
- 2Write once on the left using merge fields, such as
{{FirstName}}or{{Company}}. Any column can be a merge field. - 3Add a fallback for empty cells with a pipe:
{{FirstName|there}}. - 4Check the preview on the right. It shows the real message each person will get.
- 5Send. Each person receives their own individual email; nobody sees the others.
Results
Email reports in the sidebar shows sent, delivered, bounces, unsubscribes, replies, clicks and opens. Open rates are marked as directional: some mail apps load images automatically, which counts as an open nobody made. Every message carries an unsubscribe link, and anyone who unsubscribes is not emailed again.
